Nickname and Notes help your shop organize jobs and improve communication throughout the production process inside Printavo. This article walks through how to use job nicknames, customer-facing notes, and internal production notes so your team can keep orders organized, communicate important details clearly, and maintain better visibility across workflows.

  • Set a name for the job with the “Nickname”. This name will appear to your customer on the invoice and on your Printavo calendar.
     
  • Use the “Customer Notes” field for any acknowledgments or customer-facing notes or instructions. These notes are visible to your customer (e.g. “Customer requested the smalls to be boxed separately”).
  • Use the “Production Notes” field for any notes about the job that you want to keep internal (for your shop’s eyes only). The customer will not see these notes on any customer-facing materials.

Note: The nickname, customer notes, and production notes are copied onto the new invoice when duplicating the job in the future.

Highlighting Notes

You can highlight important information in both Customer Notes and Production Notes to help key details stand out.

To highlight text:

  1. Open a Quote or Invoice.
  2. Click into the Customer Notes or Production Notes field.
  3. Select the text you want to highlight.
  4. Click the Highlight button in the text editor toolbar.
  5. Save your changes.

Customer Notes

  • Highlighted Customer Notes are visible on the Order Overview when in Edit Mode.
  • Highlighted Customer Notes are also visible to customers on the Public Invoice.

Production Notes

  • Highlighted Production Notes are visible only to shop users.
  • Production Notes are not shown on the Public Invoice.

Tip: Use highlighting to draw attention to rush orders, special handling instructions, artwork requirements, customer preferences, or other important order details.
