How do messages work in Printavo?

You can message your customers right from Printavo!

  • Every message you send will go directly to the customer's provided email address and will have a corresponding quote/invoice so the customer is always up-to-date if any changes are made to their order.
  • You will receive notifications to your regular email (Google, Outlook, etc). You can respond from your regular email inbox or you can respond in Printavo.

Are your customer's not getting messages? 

If so, have them look in their spam folder, if the messages from messages@printavo.com are going to spam or junk, your customer will need to just mark that email as a contact or not spam and the issue should be fixed! 

The different states of Messages 

Messages are used to send an email or text-based communication on quotes/invoices. You can send messages to customers, internally or automate messages using Status Change Notifications

Email-based messages will show if they have been:

  • Pending - The message has been queued up in Printavo to be sent
  • Sent - The message has been sent
  • Delivered - The message was received by the recipient's email server
  • Opened - The message has been opened by the recipient 
  • Clicked - The message has been clicked on by the recipient 
  • Bounced with Reason - The message was not received by the recipient because of a certain reason. Click on the message timestamp to see why.
  • Rejected - The message was not received by the recipient and will not be tried again

How can I delete messages?

Deleting messages is not an available feature at the moment. 

Can I change the 'send copy' email address in messages?

Right now there is no way to edit the 'Send Copy' email address. It will always be sent to the current user's email address.

Keep in mind, you can add multiple email addresses in the 'To' field of the message.

Why does my message counter display a number for unread messages but I don't have any?

Messages from different customers appear to be grouped together

If multiple emails have the same subject line, they can get grouped together and appear as if the different customers are responding.

No worries though, all you have to do is include the invoice number with shortcodes (ex. [invoice-id])

If someone sends an email to messages@messages.printavo.com, where does the email go to?

When an email is sent to messages@messages.printavo.com there’s an auto-response saying this is not monitored and the email goes nowhere. 

How to use shortcodes

Use these shortcodes in your email message to pull in dynamic content from your invoice. Here are the shortcodes we provide:

  • [payment-request-amount] - Gets replaced with requested amount (ex. $123.00)
  • [invoice-id] - Gets replaced with "Invoice #123" or "Quote #123" depending on the invoice status
  • [customer-full-name] - Gets replaced with the customer's first & last name
  • [customer-first-name] - Gets replaced with the customer's first name
  • [customer-company-name] - Gets replaced with the customer's company name
  • [customer-email-address] - Gets replaced with the customer's email address
  • [customer-phone-number] - Gets replaced with the customer's phone number
  • [invoice-status] - Gets replaced with "Status Name" depending on the invoice's current status
  • [invoice-delivery-method] - Gets replaced with the associated delivery method
  • [invoice-po-number] - Gets replaced with "PO #123" depending on the invoice's PO number
  • [invoice-shipping-address] - Gets replaced with an invoices shipping address
  • [invoice-billing-address] - Gets replaced with an invoices billing address
  • [customer-public-profile-url] - Gets replaced with the customer's public profile URL for an invoice
  • [invoice-nickname] - Gets replaced with an invoice nickname 
  • [invoice-owner-first-name] - Gets replaced with the invoice owner's first name
  • [invoice-owner-full-name] - Gets replaced with the invoice owner's full name
  • [invoice-owner-email-address] - Gets replaced with the invoice owner's email address
  • [invoice-owner-phone-number] - Gets replaced with the invoice owner's phone number
  • [invoice-public-url] - Gets replaced with the URL for the invoice (visible to anyone with the link)
  • [work-order-public-url] - Gets replaced with the URL for the work order (visible to anyone with the link)

How can I add multiple email addresses to a message?

Even though we do not have a CC button on Printavo, you may add multiple email addresses in Printavo when sending a quote/payment request. All you have to do is separate the email addresses by a comma. It should look like this:
